Terms & Beta Terms

1. Beta access is limited and revocable
Submitting a beta application does not create an account or guarantee access. Invitations, product entitlements, capacity, supported workflows, and continued participation are determined by The Collective Trading Co. We may pause, limit, suspend, or end beta access when reasonably necessary for security, operations, misuse, testing, or product changes.
2. Who may participate
You must be legally able to enter into these terms. If you are below the age of majority where you live, you may participate only with the involvement and permission of a parent or legal guardian where permitted.
3. Beta software changes
ScanToVault is under active development. Features may be incomplete, experimental, renamed, removed, or changed. Workflows, compatibility, availability, and performance may differ during beta. Public previews and product illustrations are intended to explain the current product direction and do not guarantee that every shown layout or capability will remain unchanged.
4. Scanner and capture compatibility
The current beta is optimized and tested primarily around scanner-based card intake. Other scanner types, flatbed captures, photographs, or image-file workflows may be evaluated or supported in limited circumstances, but compatibility is not guaranteed unless ScanToVault expressly identifies a workflow as supported.
5. Identification requires review
Card identification is assisted by available images and card data. Results can be incomplete or incorrect. You are responsible for reviewing and correcting card records before relying on them for inventory, valuation, listing, sale, insurance, tax, accounting, or other decisions.
6. Your content and card data
You retain your rights in card images and data you provide. You grant The Collective Trading Co. a limited right to host, process, transform, and display that content as needed to provide, secure, troubleshoot, and improve ScanToVault. You represent that you have the right to upload and use the content you submit.
7. Acceptable use
You may not misuse ScanToVault, attempt unauthorized access, interfere with other users or tenants, upload malicious content, circumvent security or access controls, scrape or overload the service, impersonate another person, or use the service in violation of law or third-party rights.
8. Feedback
Beta feedback is encouraged. If you provide suggestions, bug reports, workflow ideas, or other feedback, you allow The Collective Trading Co. to use that feedback to develop and improve ScanToVault without an obligation to compensate you.
9. Third-party services
Some product workflows may connect to scanners, marketplaces, data providers, or other third-party services. Those services are governed by their own terms, availability, permissions, and policies. ScanToVault does not control third-party services and cannot guarantee their continued availability.
10. Privacy
Our Privacy Policy explains how information is handled in connection with beta applications and product use.
11. Beta availability and warranties
To the maximum extent permitted by law, ScanToVault is provided during beta on an “as available” and “as is” basis. We do not promise uninterrupted availability, perfect identification, universal scanner compatibility, or error-free operation. We will work to make the product reliable, but beta users should maintain appropriate independent records and backups for business-critical information.
12. Limitation of liability
To the maximum extent permitted by applicable law, The Collective Trading Co. will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from beta use, including lost profits, lost sales, lost opportunities, loss of data, or reliance on identification results. Any liability that cannot legally be excluded remains subject to applicable law.
13. Changes to these terms
Because ScanToVault is evolving, we may update these terms. Material changes will be reflected by the “Last updated” date and, when appropriate, by additional notice to approved beta users. Continued use after updated terms become effective may require acceptance of the revised terms.

These terms are written for the current testing phase. Commercial plans, paid subscriptions, broader integrations, and additional policies may require updated terms before general availability.
